EPIC TRAVEL: TERMS AND CONDITIONS

1. PRICING & AVAILABILITY

1.1. Quote Basis

All price quotes are based on current rates, available inventory, and prevailing exchange rates at the time of quotation. Prices cannot be guaranteed until all booking conditions are met.

1.2. Price Guarantee

Rates and availability are guaranteed only after the following conditions are satisfied:

  • Legal Names: Each traveler provides legal names exactly as shown on valid government-issued identification (e.g., U.S. Passport).
  • Payment: Required deposits or full payments are received by the relevant suppliers (wholesalers, cruise lines, airlines, resorts, etc.).
  • Confirmation: Payment authorization is successfully processed, and written booking confirmation (e.g., invoice number, confirmation code) is received from all suppliers.

1.3. Supplier Modifications

Epic Travel is not liable for pricing, package, or itinerary changes made by suppliers after a booking has been confirmed but before final travel occurs.


2. PASSPORTS & TRAVEL DOCUMENTS

2.1. Required Documentation

For international travel, a valid passport is required. It is the traveler’s responsibility to ensure that all names on airline, cruise, and resort documents exactly match their passport. Discrepancies can cause denied boarding or costly amendment fees.

2.2. Name Accuracy

Even if a supplier’s confirmation only displays first and last names, the underlying booking must exactly match the passport (including middle names, if required).

2.3. Passport Validity

Many destinations require passports to remain valid for at least six (6) months beyond the traveler’s scheduled return date. Epic Travel strongly recommends that all travelers verify this, even if the destination does not strictly enforce the rule.


3. VISAS, ENTRY REQUIREMENTS & HEALTH

3.1. Visa or Entry Authorization

Certain destinations or transit countries may require a visa, entry endorsement, or Electronic Travel Authorization (ETA) in addition to a valid U.S. Passport.

3.2. Traveler Responsibility

Travelers are solely responsible for securing all required visas, vaccinations, and complying with any health or entry protocols (e.g., COVID-19 testing, vaccination status) for every part of their itinerary, including transit stops.

3.3. Verification

Travelers must verify entry and health requirements at least two (2) months before travel, as regulations often change. Epic Travel is not responsible for denied entry or boarding due to non-compliance with these requirements.


4. TRAVEL INSURANCE

4.1. Strong Recommendation

Travel insurance is highly recommended to safeguard your investment against unforeseen events. Policies may cover trip cancellation, interruption, delays, medical emergencies, and more (subject to policy terms).

4.2. Supplier Fees

Suppliers (airlines, cruise lines, resorts, wholesalers, etc.) may impose change or cancellation fees upon deposit or final payment, many of which are non-refundable.

4.3. Policy Details

Travelers should request, review, and fully understand the travel insurance coverage before purchasing. Full policy details are available from your booking agent upon request.

4.4. Non-Refundable Premiums

Once purchased, insurance premiums are non-refundable, regardless of changes to the underlying travel booking.

4.5. Mandatory Coverage

Some destinations or suppliers may require proof of travel or medical insurance for entry or participation.


5. PAYMENTS, DEPOSITS & CONFIRMATIONS

5.1. Payment Deadlines

Travelers must comply with all deposit, interim, and final payment deadlines set by suppliers. Missing deadlines may result in automatic booking cancellation and forfeiture of funds paid.

5.2. Funds Handling

All funds paid to Epic Travel are held on behalf of suppliers. Supplier cancellation and refund policies govern the disposition of these funds.

5.3. Travel Documentation

Final travel documents (e.g., e-tickets, vouchers, confirmations) are issued only after full payment is received and acknowledged by the supplier.


6. THIRD-PARTY BENEFITS & LOYALTY PROGRAMS

6.1. External Program Disclaimer

Epic Travel holds no responsibility for any external travel benefits, points, or rewards offered by third parties such as airlines, hotels, or financial institutions.

6.2. Credit Card Providers

This includes, but is not limited to, benefits or coverage provided by credit card companies or banks (e.g., travel protection, reward points, lounge access).

6.3. Traveler Responsibility

Travelers must confirm with the issuing institution that their booking or payment qualifies for any third-party benefits prior to payment.


7. CHANGES & CANCELLATIONS

7.1. Supplier Fees

Travelers are responsible for all modification or cancellation fees imposed by suppliers, which may reach up to 100% of the total travel cost depending on the timing of the change.

7.2. Agency Service Fees

If a traveler requests changes or cancellations after booking confirmation, Epic Travel will charge a professional service fee ranging from $50 to $200 per booking, in addition to any supplier penalties.

7.3. Refund Timelines

Supplier refunds may take between 6 to 12 weeks, or longer, to process. Epic Travel will issue any applicable refund to the traveler once received, less any service fees.


8. ROLE OF EPIC TRAVEL

8.1. Agency Function

Epic Travel acts solely as a booking agent for independent suppliers (airlines, hotels, cruise lines, tour companies, etc.) and does not own or operate these entities.

8.2. Supplier Liability

Epic Travel is not liable for any act, omission, or negligence by suppliers, nor for injury, damage, delay, or loss resulting from supplier services.

8.3. Force Majeure

Epic Travel is not responsible for disruptions caused by events outside our control, including but not limited to, severe weather, strikes, terrorism, pandemics, or governmental restrictions.



9. COMMUNICATION & ACKNOWLEDGEMENT

9.1. Acknowledgment of Terms

By making a payment, the traveler confirms that they have reviewed, understood, and accepted these Terms and Conditions, along with all applicable supplier-specific policies and cancellation terms.
